OFFICER MEETINGS

Andrea and a couple other officers have raised this issue. I think this NEEDS to happen! we need to schedule a time for EVERY officer (with times permitting.. perhaps 2 sessions?) to get together on TS and discuss Guild issues and set things in stone! we have a couple posts about raising issues, making suggestions.. discussing things.. and nothing comes out of it!

Please dont let this pass on by again!! lets get this ball rolling!!

The issue I have with this is because of school I may or may not be able to be on if we do this. My daily schedule is not set in stone because of homework I might have and how heavy of a load it is. I have days I might not be as busy, and others there is just no way I can make it online. I can't promise to be online at a set time on a certain day.

yes! understand 100% that there will be instances that not everyone can attend.. but I would like to speak for myself that I would trust in the consensus of the group if I could not attend.. but for there to be a non biased consensus.. there needs to be a majority of officers in attendance.

Before guild missions would be better. After guild missions is the time that most officers try to arrange group activities. I've been meaning to propose that we as officer should try to create groups with members that we do not normally party with after missions as well. It would be a perfect time to interact with other guild members. Topic for first meeting

we can have a second one for the rest of our officers aroudn the world. not sure how we'll work it but I'm sure we can figure out someway foir everyone to be involved.

I won't be able to attend either of those meetings probably 95% of the time. Also, I do not have access to a working mic, so I can't participate anyways. Although I'm sure some will be glad that I am not there to challenge them.

Andddd to be on topic, yeah there are 19 officers, majority should be attending as the highest thing to aim for.  Do note seamon and ozone probably don't read forums (dunno if they should be counted or not in my "19 officers" thing).  We will need someone to take meeting minutes as necessary, we should use google docs to take minutes, as everyone can see the changes/make changes/access it.

Why google docs and not the forums? And is there access control so only officers can see it if it's on google docs? Sorry, I haven't ever used google docs so sorry if my questions are silly.

Also, it sounds like the officer meetings will be used to make decisions. If decisions are made during the meetings, are those who are unable to attend excluded from having a voice? How does it work if there are multiple meetings to accommodate different groups of officers? Which meeting does the decision get made during?

We should use google docs because:
* I've done a lot of group projects with people for college, so I have experience using it.
* We need to take notes somewhere and formatting it on the forums sucks.
* Everyone can view it as it is being typed up.  Therefore, we can correct our mistakes as it's being typed.
* Kittyn is worried about the security.  It will be set up so that anyone with the link can edit it for the first week.  After a week, they will just be able to view it.
* Kittyn also worries that any normal member can view and edit it.  That is true, but that would mean an officer let it slip and provide a link to them.  It would also mean that we have something to hide, and if a member is that interested in seeing the notes, it got to show some initiative and dedication to the guild.

Minutes do need to be taken regardless, if not google docs then please offer a suggestion instead.  I will automatically turn down using the forums to adequately convey meeting minutes though.

Sorry im so late to this, forums were extremely laggy and snail like for past few days and I gave up after a few posts. Anyway I can most likely make the Saturday meetings

This weekend will be awkward for me as I am traveling to visit my mother 3 hours away tomorrow morning.. hoping to leave around 10am (hour before 1st GMs for me) what time are we scheduling for our meeting? and are we doing this on TS? Can we have a dedicated channel that ONLY officers can enter?

I'll try to make both meeting, though the second might be rough for me.

I have had a lot on my mind lately and I have really thought this through before deciding whether I should post my real opinion about all this or not. Ratche's thread about feeling comfortable about posting is what makes me feel like I should voice (type) my thoughts.

I can see that officer meetings would be a great idea, and I do think we should have them. I can see that TS would be a useful tool for these officer meetings. However, I would like to mention some problems I know exist for using TS.

1. Some people do not like/hate having to use any type of VoiceIP. (This one is for you Beez <3)
I don't think that it is right that anyone should feel that they HAVE to get on TS. It's not fair to those who feel like they would a) miss out on discussions because they do not want to participate using VoIP  and/or b) feel forced to use VoIP less they be excluded from important discussions.

2. Not everyone has the chance to have their voice heard. (And this one is for you Kitty <3).
Some people (specifically Kitty) do not have a mic. Or in my case, my mic is very low quality and it's hard for people to hear me. I usually have to repeat myself (which gets embarrassing) so I really don't like talking on TS much because of this issue I have with my mic. These problems mean that the people who cannot talk will not be able to truly participate in any discussion made because they lack of the ability to speak up.

I know these are issues that do exist and I have some more that might happen if anyone would like to know more. (After I get back from my trip tomorrow)

I know this is not a full solution, but during meetings all officers should have the Teamspeak window up so that they can see any text typed into the text box. This could be one way people who want to attend could voice their thoughts without actually speaking.

I swear I'm not saying this just because I hate TS (ilusm grimmz <3) but I just don't see why we don't keep discussions to forums?

The reason I say this is because:

1. The issues mentioned by Grimmz above
2. Forums means people can type out a well thought-out response instead of just "uh huh"ing during a TS meeting without the time to think on anything
3. Timezone issues
and most importantly 4. An exact transcript of a conversation about a topic is preserved so people can go back through etc and there are no mis-rememberings or mis-sayings etc.

Forums seem like a perfectly adequate way to discuss things as long as people actually come on here and read the threads. And anybody that doesn't won't know about it anyway so who cares.

Also completely unrelated but if the ts meetings do go off tomorrow before guild missions I don't think I'll be there. I have reservations for Charleston restaurant week thingie :'(

So, are we trying one today before guild missions or not? We have lots of opinions and options discussed here. What do we want to do for people who cannot attend? I proposed a few ideas. Of course, there are a few people who would rather just discuss things here and forget meetings all together. That has not been addressed either.

nothing truly has been decided, so we need an executive decision to assign when things will happen.  As this isn't showing signs of happening today, I'd assume one isn't planned.
